Privacy Policy

AdvisorVanta provides software designed to help dealership service teams manage follow-up relating to vehicle service recommendations. This policy describes information that may be handled in connection with the platform and its supporting backup utility.

Information handled

Depending on dealership use, the platform may process customer names, contact details, vehicle information, repair order identifiers, recommended services, service pricing, advisor assignments, customer selections, and follow-up activity. It may also process authorized user account information and technical records needed to operate and secure the service.

How information is used

Information is used to support dealership follow-up workflows, communicate about previously recommended services, help staff manage customer responses, maintain application functionality, and support security, troubleshooting, and backups. AdvisorVanta does not claim ownership of dealership customer relationships.

Google Drive backup access

An administrator-operated backup utility may use Google OAuth authorization to access a designated Google Drive account for offsite backups. The utility uses the Google Drive access granted by the account holder to upload and retrieve backup files. It is not intended to read Gmail messages, contacts, or unrelated Google account content.

Database backups are encrypted using the configured rclone crypt process before being uploaded to Google Drive. The Google Drive account and OAuth authorization are controlled by the authorized administrator. Encryption keys and configuration credentials must be protected separately from the cloud-stored backups. No security mechanism guarantees absolute protection.

Google API data accessed by the backup utility is used for backup and restoration functions, not for advertising or sale. The utility does not use Google Drive data to train generalized AI models.

Sharing and service providers

Information may be processed by infrastructure and service providers necessary to operate the application, such as hosting, access-control, email, and backup providers. Information may also be shared with the dealership and authorized personnel for the services described above, or when legally required. We do not represent that dealership customer information is sold for advertising purposes.

Security and retention

Access controls, restricted administrative access, and encrypted offsite backups are part of the platform's security approach. Retention depends on operational needs, applicable agreements, and backup settings. Copies may remain in backups for a limited period after removal from the active database. Specific retention schedules should be confirmed for each deployment.

Your choices and requests

For customer service records, the relevant dealership may be the appropriate first point of contact. You may also contact AdvisorVanta about privacy questions, access, correction, or deletion requests; requests will be reviewed in light of the applicable relationship and legal requirements.

We may revise this policy as the platform and its integrations evolve. Changes will be posted on this page with an updated effective date.
